About the role

Role: Student Recruitment Administrator

Who You Are
You are a highly organised, detail-oriented administrator with strong communication and CRM skills, capable of managing high-volume tasks accurately in a fast-paced environment.

About Us
Regent College London is a leading independent higher education provider, offering flexible and inclusive learning across multiple London campuses. We are student-focused, digitally forward, and committed to academic excellence.

The Role
Support the Student Recruitment Team by maintaining accurate CRM records, managing applicant documents, coordinating compliance checks and ensuring a smooth admissions journey.

Key Responsibilities
  • Upload, check, verify, organise, and correctly label applicant documents, aligning with internal filing conventions.
  • Maintain accurate and up-to-date applicant records on the CRM and relevant internal systems.
  • Update applicant stages, notes, contact information, and outcomes following communication from Course Advisors.
  • Check applications for completeness and identify missing information or documentation.
  • Contact applicants by telephone and email to request outstanding administrative documents and information.
  • Follow up on missing documents such as qualifications, identification, proof of address, or other required evidence.
  • Monitor outstanding document lists and provide regular updates to Course Advisors.
  • Send routine applicant communications, reminders, and confirmations using approved templates.
  • Liaise closely with other team members, including the internal UKVI pre-compliance team, to ensure compliance workflows.
  • Book applicant interviews and manage scheduling.
  • Escalate complex applicant queries to the appropriate Course Advisor or department rather than providing sales/admissions advice outside the role.

Essential:
  • Strong administrative and organisational skills.
  • Excellent attention to detail and accuracy.
  • Confident using Microsoft Excel, Outlook, Word and other Microsoft Office applications.
  • Comfortable working with CRM systems and maintaining electronic records.
  • Good written and verbal communication skills.
  • Ability to manage a high volume of tasks and applicants.
  • Ability to prioritise work and meet deadlines.
  • Confident communicating with students/applicants by telephone and email.
  • Ability to work effectively as part of a fast-paced team.
  • Understanding of confidentiality and handling personal information appropriately.

Desirable:
  • Previous administrative experience within higher education, student recruitment, admissions or a sales environment.
  • Experience using a student recruitment CRM.
  • Experience handling applicant/student documentation.
  • Experience producing reports or working with Excel trackers.
  • Understanding of the UK higher education student journey from enquiry through application, admission and enrolment.
  • Experience supporting a target-driven sales or recruitment team.

Key Performance Indicators (KPIs)
Performance in this administrative role will be measured through the following metrics rather than direct sales/enrolment conversions:
  • Accuracy and completeness of CRM records.
  • Turnaround time for administrative tasks.
  • Percentage of applications with outstanding documents followed up within the required timeframe.
  • Accuracy of application/document checks.
  • Number of unresolved or overdue administrative cases.
  • Timeliness and accuracy of reports/trackers.
  • Response time to Course Advisor requests.
  • Compliance with agreed processes and data-management standards.

Compliance Statement

Successful applicants will be required to complete pre-employment checks, including a criminal records check, two references, ID and Right to Work verification, and education confirmation. We are an equal opportunity employer and value diversity and inclusion, selection for employment is based solely on an individual’s skills, qualifications, and experience relevant to the role.
