About We Are Rosie
We Are Rosie is a community of more than 35,000 independent marketing professionals dedicated to creating a more flexible, inclusive, and accessible future of work. We connect talented marketing professionals with meaningful opportunities while helping organizations build more agile and inclusive teams.
About the Role
We’re looking for a detail-loving, numbers-minded Payroll & Timesheet Coordinator to join our People Operations team as a Flexie (part-time).
In this role, you’ll make sure every hour our Rosies work on client engagements is captured accurately and gets to the right place on time. You’ll review and reconcile timesheets, prepare them for submission to our payroll partner, and act as the go-between for our team and theirs. When something doesn’t add up, you’ll be the one who spots it, figures out why, and gets it fixed before it reaches anyone’s paycheck.
This is a fully remote role at about 15 hours per week. Much of the work happens on Mondays, when weekly timesheets come in and need to be reviewed and submitted, so consistent Monday availability is a must.
What You’ll Do
- Review weekly timesheets in Harvest for accuracy, completeness, and alignment with approved hours and pay rates.
- Reconcile hours and rates, then prepare and submit time data to our payroll partner on schedule.
- Serve as the main point of contact with our payroll partner’s team by answering their questions, flagging issues, and following through until things are resolved.
- Spot and investigate discrepancies, such as missing hours, rate mismatches, and late submissions, and work with Rosies and internal teams to correct them.
- Share updates with our payroll partner when Rosies start, wrap up, or have rate changes.
- Respond to Rosies’ questions about their time and pay with clear, friendly, and timely answers.
- Keep accurate records and help us improve the process over time.
- Handle all pay and personal information with care and discretion.
What We’re Looking For
- 2–3+ years of experience in payroll, timekeeping, or payroll administration.
- A sharp eye for detail and comfort working with numbers. You’re the person who notices when a total is off by a few dollars.
- Hands-on experience with Harvest or a similar time-tracking tool.
- Experience working with an external payroll provider, PEO, or Employer of Record. Coordinating with an outside payroll team is a big plus.
- Familiarity with hourly pay and multistate considerations.
- Clear, calm communication skills and the confidence to follow up until an issue is closed.
- Reliable Monday availability and the ability to work independently in a remote environment.
What Success Looks Like
- Timesheets are accurate and submitted on time, every week.
- Issues get caught and fixed before they turn into pay problems.
- Our payroll partner sees you as a dependable, organized counterpart.
- Rosies trust that their time is in good hands and know who to ask when they have questions.
