About the role

As People Experience Specialist, you will drive the operational execution of our global Learning & Development, Employee Engagement, Facilities, and CSR initiatives. You will manage daily L&D workflows, maintain our 360Learning course catalog, support engagement survey logistics, coordinate learning events, handle day-to-day office facilities requests, and compile regulatory HR/CSE training reports.

Reporting to the People Experience Lead and collaborating closely with HROps and HRBP, you will ensure our training processes, office facilities operations, onboarding workflows, and administrative compliance run efficiently, accurately, and smoothly.

Within 1 month, you will:

  • Immerse yourself in our Convexity culture and master our tool stack (360Learning, Lattice, Confluence, Trello, Bob, Excel/Google Sheets)

  • Learn our L&D administrative workflows, vendor management protocols, facilities management routines, and CSE reporting requirements

  • Take ownership of incoming employee training requests, office access/badge logistics, mail/package distribution, and ad hoc helpdesk tickets

Within 3 months, you will:

  • Triage and process employee training requests against our Learning Allowance guidelines

  • Maintain internal course hygiene on our 360Learning platform (catalog updates, tagging, content cleanups across 700+ courses) and on Confluence (knowledge base)

  • Manage administrative launch and reminder schedules for engagement pulse surveys on Lattice

  • Manage day-to-day facilities operations (office access badges, mail/deliveries, basic maintenance coordination, ad hoc assistance tickets)

  • Collect raw HR data for CSR reporting (carbon footprint metrics, EcoVadis documentation, and standard HR answers for Sales RFPs)

  • Compile quarterly and annual CSE (Comité Social et Économique) mandatory training reportings in coordination with HR Ops.

Within 6 months, you will:

  • Handle event logistics for internal workshops, coaching co-dev groups, team-building gatherings, and company-wide Learning Days

  • Assist in creating and updating learning assets (short modules, onboarding checklists, tutorial videos, slide decks)

  • Track training completion rates, survey participation metrics, and produce monthly People Experience dashboards

  • Support daily office logistics and ad-hoc facility projects, including space planning, access management, and adapting our workspace to evolving business needs

Within 12 months, you will:

  • Operate with full autonomy across routine L&D administration, facilities logistics, engagement survey support, and CSE compliance reporting
  • Identify operational bottlenecks and propose automated workflows between 360Learning, HRIS (HiBob), and administrative tracking tools

The Skill Set:

  • 1+ years of experience in L&D Operations, People Ops, HR administration, workplace/facilities coordination, or event planning (internships/apprenticeships included)

  • Comfort handling day-to-day workplace operations (badges, deliveries, ad hoc assistance tickets, maintenance follow-up)

  • High comfort with spreadsheets (pivot tables, formulas) to collect CSR raw data, prepare CSE reports, and analyze training requests

  • Rigorous organization, strong multi-tasking skills, and strict respect for administrative deadlines

  • Tech savvy: comfortable with tools like learning platforms (360Learning), HR systems and Google Workspace

  • Fluency in French and English (written and spoken)
  • Enthusiasm for our working environment explained here: https://bit.ly/Convexity360L
